This Privacy Policy explains how NEWTON ENERGY ANALYTICS LTD (we, us, or our) handles information in connection with the energyextract.ca service (the Service). It also explains the choices available to you. By creating an account or using the Service, you agree to the practices described in this Privacy Policy.
(a) This Privacy Policy applies to information we handle through the Service.
(b) The Service is available to businesses and organizations, to the individuals who use it on their behalf, and to individuals who use it for themselves.
(c) We handle information in two capacities. For some information, such as your account, billing, support, and technical information, we act on our own behalf. For the bills you upload and the data extracted from them, we act on your behalf and process that information to provide the extraction you request.
(a) Account information. When you register, we collect your email address and sign in credentials, together with any account or profile details you choose to provide, such as your name or the organization you represent.
(b) Payment information. When you buy credits or a subscription, payment is handled by our payment processor. We receive confirmation of payment and limited transaction details. We do not collect or store full payment card numbers.
(c) Bills you upload and extracted data. We collect the utility bills you upload and the data fields extracted from them, such as account number, service address, billing period, utility provider, charges, and consumption figures.
(d) Support information. When you contact us for support, we collect the information you choose to provide.
(e) Technical information. When you use the Service, we collect basic technical and usage information such as your internet protocol address, device and browser type, and log information. We and our payment processor also use cookies and similar technologies needed to operate the Service, such as keeping you signed in and processing payments.
We use the information we collect to:
(a) Some bills you upload may contain the personal information of individuals who are not you, for example a tenant or another account holder named on the bill.
(b) You are responsible for making sure you are authorized, and have obtained any consent required from the account holder or other individuals to whom a bill relates, before you upload that bill and have its data extracted for your purposes. We ask you to confirm this at the time you upload each bill.
(c) We handle that information only to perform the extraction you request and do not use it for any other purpose. The terms that govern your responsibility for the bills you upload are set out in our Terms of Use.
(a) Service providers. We share information with providers who handle it on our behalf and under contract. These include Amazon Web Services, which provides our cloud hosting, infrastructure, and the artificial intelligence processing used to read bills, and Stripe, which processes payments.
(b) No sale of personal information. We do not sell personal information and we do not share it for advertising purposes.
(c) Legal and safety. We may disclose information where we believe it is required by law, or where necessary to protect the rights, property, or safety of our users, the public, or us.
(d) Business transfers. If our business is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
(a) Our Service and the providers we use store and process information on servers located in the United States. This includes the bills you upload, the data extracted from them, and your account, credit, and support information.
(b) Because this information is stored and processed in the United States, it may be accessible to courts, law enforcement, and government or regulatory authorities in that country under the laws that apply there.
(c) We use contractual and other measures with our providers intended to protect your information at a level consistent with this Privacy Policy while it is handled on our behalf.
(a) We use an artificial intelligence model, made available to us through our cloud infrastructure provider, to read the bills you upload and extract the relevant data. Your uploaded bills are processed by this model as part of that extraction.
(b) This processing is carried out within our cloud provider's environment. The bills you upload and the data extracted from them are not shared with or accessible to the developer of the artificial intelligence model, are not retained by the artificial intelligence service after the extraction is complete, and are not used to train artificial intelligence models. We use the content only to perform the extraction you request.
(c) Automated extraction may contain errors. You are able to review and correct the extracted data before you export it, and you should do so before relying on it.
(a) Uploaded bills. When you upload a bill, a temporary copy is held in the upload queue and is deleted automatically after seven days. A further copy is retained in your account so you can refer back to the original, and it is kept until you delete that bill or close your account.
(b) Extracted data, account, support information and technical information. We retain the extracted data, your account information, and your support communications while your account is active and for as long as needed for the purposes described in this Privacy Policy.
(c) Your control. You can delete your bills or close your account at any time. When you delete a bill or close your account, the associated information is removed, except for limited information we are required to keep by law.
(a) We use security measures appropriate to the sensitivity of the information, including access controls and authentication. You can access only the bills and data in your own account and cannot see other users or their bills.
(b) No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your sign in credentials confidential.
(a) Access and correction. You can review and correct the extracted data within your account. You may also ask us to provide access to, or to correct, other information we hold about you.
(b) Deletion. You can delete your bills or close your account at any time.

(b) If we send you promotional or marketing messages, we will do so only with your consent or as otherwise permitted by law, and you will be able to unsubscribe at any time.
(a) We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you, for example by posting the updated policy on the Service or by contacting you. The effective date at the top shows when the policy was last updated.
