Data Privacy FAQ

How EnergyExtract handles your utility bill data, privacy, and security.

Data Storage & Security

Where is my data stored?

All bill data, extracted information, and uploaded PDF files are stored securely in Amazon Web Services (AWS) S3 cloud storage in the US East (Northern Virginia) region. Your data is completely isolated from other users — no one else can access your bills or extracted data.

Who can see my bills?

Only you can see your bills. Each account has its own private storage space. Newton Energy Analytics Ltd. administrators can access your data only when you have raised a support ticket and require hands-on assistance to resolve an issue. This access is logged and audited.

How long is my data retained?

Uploaded PDF files in the processing queue are automatically deleted after 7 days as they are only needed during extraction. Extracted bill data and your workstation records are retained indefinitely until you delete them. You can delete individual bills or your entire account at any time.

Is my data encrypted?

Yes. All data is encrypted at rest using AES-256 encryption and in transit using TLS 1.2 or higher. PDF uploads use pre-signed secure URLs that expire within 15 minutes.

Bill Processing & AI Extraction

What happens to my PDF bills when I upload them?

Your PDF is uploaded directly to secure cloud storage. An AI model reads the bill and extracts structured data — account numbers, billing periods, charges, and consumption. This processing occurs within our cloud provider's secure environment and the content is not retained by the AI service after extraction. A copy of the original PDF is kept in your account for re-extraction purposes until you delete the bill or close your account.

Is my bill data used to train AI models?

No. Your bill data is not used to train any AI models. AI processing is performed by Anthropic's Claude Sonnet 4.6 model through Amazon Bedrock (AWS) under a zero data retention (ZDR) policy — your bill content is not stored by the AI service after extraction is complete, is not accessible to the AI model developer, and is not used to train any AI models.

How accurate is the extraction?

Extraction accuracy depends on the quality of the original PDF. For standard utility bills from major Canadian providers (BC Hydro, FortisBC, Manitoba Hydro, Hydro One, Enbridge Gas, Hydro-Québec and others), accuracy is typically very high. Each bill is assigned a risk score — bills with low confidence fields are flagged for your review. You can always correct extracted data manually and re-extract if needed.

What utility types are supported?

EnergyExtract performs full extraction on utility bills from any provider — capturing all charge line items, account details, billing periods, and consumption data. Electricity, natural gas and water bills from every province export to one consistent national column layout, so bills can be compared across accounts, periods and provinces. It covers tiered and declining-block rates, demand charges, time-of-use pricing, and rate changes partway through a billing period. Exports of Ontario bills alone use a dedicated layout with full time-of-use and Global Adjustment detail. Bills of other types (such as district energy) include the core fields plus whatever charge line items were found on that bill.

Account & Privacy

What personal information do you collect?

We collect your email address for account authentication. Bill data you upload may contain personal information such as your name, service address, and account numbers — this information is stored solely to provide the bill extraction service and is not shared with any third parties.

Do you share my data with third parties?

No. Your data is never sold or shared with third parties. AI processing is performed within Amazon Web Services (AWS) infrastructure under a zero data retention agreement. Stripe processes payments. No other third party has access to your bill content.

Can I delete my data?

Yes. You can delete individual bills at any time from the workstation. You can also delete your entire account and all associated data directly from the Settings page — no support ticket required. Account deletion is permanent and immediate.

How do I report a privacy concern?

Submit a support ticket through the Support page in your account. You can also contact Newton Energy Analytics Ltd. directly at www.newtonenergyanalytics.com. We take all privacy concerns seriously and will respond within 2 business days.

Exports & Data Portability

What format are exports in?

Bill data is exported as Excel (.xlsx) files, one per utility type (Electricity, Natural Gas, Water, Other), with columns that have no data hidden. Each export includes all extracted fields — account details, billing periods, consumption, and individual charge line items. Quick exports provide a simplified summary across all utility types.

Is there a limit on how much I can export?

Each export can include up to 3,000 bills. If you have more than 3,000 bills, apply filters (by status, utility type, property or portfolio) to export in batches. There is no limit on the total number of exports you can perform.

Data Accuracy & Disclaimer

How accurate is the extracted data?

EnergyExtract uses AI to extract data from utility bills. While accuracy is generally high for supported bill types, the extraction process is not infallible. Factors such as poor scan quality, unusual bill formats, handwritten annotations, or provider-specific layouts may affect accuracy. Each bill is assigned a risk score and low-confidence fields are flagged for your review.

Should I verify the extracted data before using it?

Yes. Newton Energy Analytics Ltd. does not guarantee that extracted data is 100% accurate or complete. You should always verify extracted data against the original bill before using it in financial reporting, energy audits, procurement decisions, billing reconciliation, or any other consequential application. EnergyExtract is a tool to assist your workflow — not a replacement for professional review.

What should I do if I find an error in the extracted data?

You can correct any field directly in the bill detail view by clicking on the value and editing it. You can also use the "Report Missing Item" button to flag a field and trigger a re-extraction. If you encounter a systematic error affecting multiple bills, please submit a support ticket so we can investigate and improve the extraction model.

Is Newton Energy Analytics Ltd. liable for errors in extracted data?

No. By using EnergyExtract, you acknowledge that extracted data is provided on an "as-is" basis and that Newton Energy Analytics Ltd. is not liable for any loss, damage, or consequence arising from reliance on extracted data without independent verification. Please refer to the Terms of Use for the full limitation of liability.
